ERP load file

The file your team loads into the ERP: reliable lines, supply check, formats, cancellation and read-back.

An uncertain line is released only after supply approval

What the tool does
The ERP load file contains only reliable lines and the “to check” lines that supply has approved, one by one or on a selection (a right granted by the administrator). The decision (approve, set aside, request information) is logged with its reason and can be undone. It never lifts what belongs to the buyer (price, purchasing decision, blocking alerts) and applies only to the line as it was seen: if the line changes, it goes back to “to check”.
Why
A line whose link to the ERP is uncertain can overwrite another item's price; supply is the team that knows the item in the ERP. The file therefore contains only checked lines, checked by the tool or by a named person.

Another ERP item from the queue; same template, new price list

What the tool does
From the export check queue, an authorised supply planner can choose another ERP item for a line. The choice is saved as a match approved by a person and reused by later price lists. An approved match is never replaced without the explicit “replace” action, with a reason; nothing is deleted and the operation can be undone. “Same template, new price list” reuses the template of the last file produced for this supplier and entity, shows what changed and produces the new file after confirmation; approvals from the previous price list are not carried over.
Why
Supply knows the item in the ERP: work done once must serve the next campaign. An approval of one price does not hold for another price.

ERP file formats, cancellation and read-back

What the tool does
The file format is a setting of each ERP's template: CSV, Excel, JSON, XML or fixed width. A value a format cannot carry excludes the line with its reason, never truncated or replaced; a missing value is written empty, never 0; numbers never follow the screen language. A file can be split into parts. At each production, the tool keeps the values the ERP held before: cancelling a production writes the file that restores them. After the next synchronisation, the read-back compares the file with the ERP prices line by line (taken, with a gap, missing) and opens a task for supply if gaps remain.
Why
A file that cut a reference or a price, or whose decimal separator followed the screen language, would load a wrong value without anything flagging it. Going back is only possible with the previous prices, which disappear from the ERP as soon as it has taken the new file.

An ERP output profile is set easily on screen: column order, formats, output unit of the price

What the tool does
The format of the file an ERP receives is set in the "ERP export" screen, "Output profiles" tab: column order, names, formats, and the price unit chosen from the unit table (an unknown unit refuses the row with its reason, nothing is guessed). Each setting is a new version that can be cancelled, reserved to the manager and the administrator, with a written reason; files already produced keep their version. Three fictitious profiles are used for tests and demonstration; the real profiles will be adjusted with the IT department's files.
Why
So as not to wait for each ERP's real format and to set it without programming, without ever changing what was already produced nor guessing a unit conversion.

The demonstration runs on a fictitious data set, then, if you wish, on a real price list from one of your suppliers.
